Overview
An opportunity for a self-motivated individual to develop their career in Human Resources within a fast-growing business. The Trainee HR & Resourcing Administrator will provide comprehensive administrative support to the HR Team. The successful applicant will support Hiring Managers and Directors and manage queries raised internally and externally for the day-to-day management of recruitment.
Duties
Resourcing
- Support the HR / Senior HR Administrator, and wider team to ensure a seamless recruitment service is provided both internally and externally
- Provide an effective administration service including the uploading of vacancies to Pinpoint and liaising with direct applicants and managing applications using Pinpoint
- Review candidate CVs at trainee level
- Coordinate interviews
- Request interview notes and feedback from interview panels ensuring Pinpoint is updated
- Input data into template employment offer letters and contracts of employment
- Coordinate and administer the end-to-end lifecycle of new starter checks including, qualification checks, employment references and any permit and licensing requirements
- Act as a key link between candidates, hiring managers, interview panels and partners for queries relating to the recruitment and onboarding process
- Assist in the coordination of recruitment events to include skills shows, careers fairs, student work placements and other school events
HR Administration
- Induction administration including preparation and completion of induction checklists
- Pre-screening including reference checks, reference response letters and world checks
- Collection and scanning of new joiner documentation
- Assist the HR team with the HR admin inbox ensuring timely response to internal and external emails
- Update staff contact lists and structure charts
- Provide administrative support to the HR Administrator across leaver, probation, and promotion processes
- Creation of monthly management and adhoc reports
- Support the Senior HR Administrator with payroll administration
- Support the Senior HR Administrator with learning & development administration
- Creation of profiles within People HR software and Learning Management System to include:
- New joiner personal information
- Induction checklists and information
- Pre-approved annual leave
- CPD logs
- Scanning of all required documentation
As part of your duties all employees must ensure adherence to internal policies and procedures and meeting all personal AML obligations.
Person Specification
Qualifications
- Educated to at least ‘A’ level standard or equivalent (grades A-C), and GCSE Mathematics and English (Grades A-C / 9-4), and a willingness to study towards a relevant professional qualification.
Technical Knowledge
- The candidate will receive training as required, however previous experience/exposure to HR would be advantageous, along with a genuine interest in developing a career in HR
- Ability to write business correspondence and deal with routine emails, enquiries and telephone calls
Skills and Experience
- Excellent verbal and written communication skills are essential, with the ability to work within a team and independently
- Strong organisational and time management skills are essential
- The ability to act in a confidential and sensitive manner
- Strong attention to detail
- Training on internal systems, controls and procedures will be given; however, it is essential that the job holder has proven computer literacy skills
